Privacy Policy

1. Who we are

This website, quonnex.com, is operated by Quonnex ("Quonnex", "we", "us" or "our"), a cross-border e-commerce operator based in Hong Kong. For the purposes of the Personal Data (Privacy) Ordinance (Cap. 486) ("PDPO"), we are the data user responsible for the personal data described in this policy.

2. Personal data we collect

We collect only the personal data we need for the purposes set out in section 3.

• Enquiries. When you use our contact form: your name, email address, telephone number (optional), company name, website, your areas of interest, the channels you sell on and your message.
• Call bookings. When you book a call: your name, email address, telephone number if provided, the time you choose and any answers you give in the booking form.
• Newsletter. When you subscribe: your email address and the date you subscribed.
• Website usage. When you browse the site: pages visited, time of visit, approximate country derived from your IP address, browser language and a visitor identifier stored in a first-party cookie.
• Correspondence. Any information you choose to send us by email or during a call.

Providing personal data is voluntary. If you do not provide the details marked as required in a form, we may not be able to respond to your enquiry or confirm your booking.

3. How we use personal data

• To respond to enquiries and to arrange, hold and follow up on calls you book.
• To assess and discuss a possible business relationship with you or your company, and to manage that relationship if it goes ahead.
• To send you our newsletter, if you have subscribed (see section 5).
• To operate, secure and improve this website, including understanding which pages are useful and in which languages.
• To meet our legal and regulatory obligations and to establish, exercise or defend legal claims.

We will not use your personal data for a new purpose that is not directly related to these purposes without your prior voluntary and express consent.

4. Who we share personal data with

We do not sell personal data. We may share it, on a need-to-know basis and for the purposes above, with:

• service providers that host or support our systems, including our website, CRM and business software (Odoo), our email and collaboration services (Microsoft 365) and video-call services;
• professional advisers such as lawyers, auditors and accountants;
• companies within our group, and partners you have asked us to introduce you to;
• courts, regulators, law-enforcement agencies or other authorities where required or permitted by law.

Our service providers may store or process personal data on servers located outside Hong Kong. Where this happens, we take reasonable steps, including contractual measures, to ensure the data receives protection comparable to that required under the PDPO.

5. Direct marketing

We will only use your name and email address to send you our newsletter, which covers marketplace, compliance and e-commerce operations topics and news about our services, if you have given your consent by subscribing. We do not provide your personal data to third parties for their own direct marketing.

You may withdraw your consent at any time, free of charge, by using the unsubscribe link in any newsletter or by writing to inquiry@quonnex.com. We will then stop using your personal data for direct marketing.

6. Cookies and website analytics

This website uses first-party cookies that are needed for it to work, such as cookies that remember your language and keep forms secure, and a visitor cookie that lets us count visits and see which pages are viewed. We do not use third-party advertising cookies, and we do not currently use Google Analytics or other third-party analytics services. You can block or delete cookies in your browser settings; some features, such as language selection, may then not work as intended.

7. How long we keep personal data

We keep personal data only for as long as necessary for the purposes for which it was collected. As a guide: enquiries and booking records that do not lead to a business relationship are kept for up to 24 months after our last contact; records relating to a business relationship are kept for up to seven years after it ends, to meet accounting, tax and legal requirements; newsletter data is kept until you unsubscribe; and website usage data is kept for up to 24 months. Data is then deleted or anonymised.

8. Security

We take reasonable technical and organisational steps to protect personal data against unauthorised or accidental access, processing, erasure, loss or use. These include access controls, encrypted connections and limiting access to staff who need it for their work. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security.

9. Your rights

Under the PDPO you have the right to request access to the personal data we hold about you and to request correction of data that is inaccurate. To make a request, write to our Privacy Officer at inquiry@quonnex.com or to the address in section 1. We will respond within 40 days, as required by the PDPO. We may charge a fee for a data access request that is not excessive, and we will tell you the amount before we process the request.

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner for Personal Data, Hong Kong.

10. Visitors outside Hong Kong

If the data protection laws of the place where you live give you additional rights, such as the EU or UK General Data Protection Regulation, we will respect those rights to the extent they apply. Please contact us at inquiry@quonnex.com to exercise them.

11. Children

This website is intended for businesses and is not directed at children. We do not knowingly collect personal data from anyone under 18.

12. Changes to this policy

We may update this policy from time to time. The current version, with its effective date, is always available on this page.

13. Language

This policy is available in several languages. If there is any inconsistency between the English version and a translation, the English version prevails.
